Job Summary:  This position serves as the Department Chair’s designated point person responsible for the central coordination of administrative activities (operations and project planning) in the Chair’s office. Fostering a positive work environment with the upmost professionalism. It is essential that this position keeps the Chair informed, organized, and on schedule with key initiatives, expected deliverables, and anticipated assignments. Must be able to manage at the strategic and tactical levels, understanding the relationships and breadth of requirements of a Chair of a large clinical department, while ensuring that necessary details are properly attended. Ensures timely flow of information to and from the Chair, across the Department and other key constituents.  Duties And Responsibilities  Participate with the Chair in strategic visioning, planning, leadership, events, project oversight, and financial objectives for key administrative planning and operations functions. Establish strategic priorities for a defined period of time and arrange reporting of projects on a regular basis. Work through a keen understanding of the relationships and formal structure of the Department, School of Medicine, Private Diagnostic Clinic, Duke University Health System, and how it all works together under DukeHealth.  Meet frequently with the Chair to keep her/him abreast of key developments and ensure synchronization of expectations. Advise the Chair regarding key constituencies, providing context and background information on issues, and coordinating research, projects, meetings and initiatives, as assigned.  Move work forward on behalf of the Chair with minimal and incomplete information. Stay knowledgeable of upcoming projects, commitments, and deliverables in order to anticipate the necessary needs, tasks, work effort, and resources required to exceed expectations.  Prepare/draft various correspondence to faculty, and staff on behalf of the Chair. Author agendas and coordinate leadership activities.  Conduct research and write briefs, presentations, meeting agendas, conference materials, speeches, CV, biosketch, and related documents in support of the Chair.  Act as the liaison with all levels of the administration of the institution, and faculty, on scheduling, coordinating and resolving issues on behalf of Chair, in relation to their appointments, administrative issues and any matters which directly affect his/her role as Chair.  Manage and direct administrative staff attending to the confidential administrative duties performed on behalf of the Chair’s Office Provide insight into operational performance and make recommendations for improving the functionality and performance of the Chair’s office. Address administrative issues that challenge operational flow for the Chair’s support staff, such as those larger in scope and in nature or relating to operating guidelines and other issues.  Lead, enhance and facilitate key projects and initiatives, ensuring the timely execution and quality of results.  Oversee administrative operations in the Chair’s office including hosting events, managing phone and lobby coverage, and overseeing the appearance and functionality of the suite and related space.  Work with administrative team to strategically plan internal and external events that involve the Chair’s participation including fund raising and other development related activities.  Perform other related duties to the work described and as required.  

Required Qualifications At This Level  Education  Work requires a general business back ground generally equivalent to a bachelor’s degree in a business related field. 

Work Experience  Work requires 4 years related business or administrative experience to acquire competence in applying general personnel practices, accounting and budgeting principles and coordination of major administrative functions. A master’s degree in a business related field may be substituted for 2 years’ experience.  
Preferred Characteristics  The ideal candidate brings previous experience similar to an executive assistant or chief of staff from within a complex organization. S/he must have ability to exercise discretion and judgment; be extremely organized and able to work in a fast paced environment; and have the ability to handle multiple tasks simultaneously. S/He must have effective communication skills and the ability to write well. Must represent the Chair’s office in a professional and tactful manner and be respectful of both individuals and other cultures. Must work independently and be results driven.
