Preston’s Lair Company Communications Policy
PURPOSE
This policy is establishes guidelines to be used for Preston’s Lair Inc. (otherwise
referred to as the “Company”) for internal and external communications by and with the
Company, including the release of information to the general public the media,
customers, and all stakeholders.
SCOPE
This policy applies to all Preston’s Lair personnel in respect to all information received
and disclosed, including general, material, and confidential information in any form or
medium shared between personnel, customers and stakeholders.
OBJECTIVES
Ensure that we are clear and consistent in all communications.
Ensure that all statements are accurate and made by someone in authority to avoid
misinterpretation and legal liabilities.
PROCEDURAL CHANGES
Changes in procedure, once identified, will be submitted for approval. Department
managers will review department policy and determine if policy changes need revision.
Revised policies will be reviewed for employee standards and compliance with federal
legislation. Revised or new policies will be submitted to the Board for approval. Once
approved, policies will receive an approval date, and be disseminated to employees.

SOCIAL MEDIA
Social media, as defined in this policy, means Facebook, Twitter, Glide, Snapchat,
WhatsApp, Tango, LinkedIn, Youtube, Snapchat, blogs, wikis, comment sections on all
sites, and political platforms. Employees are forbidden to engage in any action or
activities that will shine an unfavorable light on the Company or subject the company to
litigation.
Use the internet in any form, as an employee or an anonymous individual to attack or
degrade any other employee, business contact, or any stakeholder in any written, video,
or form.
Employees are forbidden from using pseudonyms, fake screen names to blog or post
anonymously to any website or blog, information that is malicious, confidential, or critical
of the company, its employees, its business clients, or suppliers.
Employees are forbidden from using the Company’s logo or branding in any social
media outlet, pictures, websites, or in any form not approved by the Company.
Employees are forbidden from setting up an unauthorized webpage or blog, or any
account mentioning or representing the Company.
Employees, when posting to any community, forum, or any form of social media, must
clearly state that their views are personal and do not represent the views of the
Company. Personal use of social media is never permitted at work, during work, or on
any company device.

Programs currently approved for company communication and collaboration, and to
expressly promote the interest of the company and subsidiaries are as follows:
GoToMeeting.com , Adobe Connect, Zoom Info and WebEx. This policy will be
reviewed annually for updates.
USING CELL PHONES AT WORK
Employees have the right to have and bring cell phones to work. However, the use of
cell phones is prohibited when it is disruptive to the work environment, i.e. meetings,
conferences, etc… Cell phones are banned from all meetings, conferences, and group
discussions. When in meetings or conferences employees will have opportunity to
check their cell phones during breaks and during lunch. Additionally, when in the office,
employees should refrain from using cell phones openly unless the phone call is
considered very important. At first opportunity, the employee should move to a private
location to complete the call.
Cell phone conversations should not take place in the break room. Cell phone
conversations should not take place in the restroom. Employees are not allowed to
accept phone calls in the viewing room.
GUIDELINES FOR APPROPRIATE USE OF E-MAIL
Appropriate professional workplace etiquette must be observed at all times when using
Preston’s Lair email platform and within other forms of written communication. Sensitive
and confidential information should always be communicated in person. Additionally,

personal business should never be conducted on company email. Professional etiquette
should always be used, specifically when communicating:
Confidential information
Time-sensitive information
Brief communication with the minimum amount of recipients
Employees should:
Check all messages for accuracy, spelling and grammar prior to sending
Respond to all email in a timely manner
Refrain from using capital letters, which indicates shouting
COMPUTER AND INTERNET POLICY
Preston’s Lair’s internet and servers are to conduct company business only.
Employees are not allowed to download software, spyware, viruses, or any other
software/program that will introduce viruses, spyware, or other programs that will
endanger the security and confidentiality of Preston’s Lair computers, equipment, and/or
any electronic devices. Confidential information and employee passwords must be
protected at all times. Employees are prohibited from using Preston’s Lair
Computers/Internet to access any pornographic materials or websites, any political
websites, or sites that would bring reproach up Preston’s Lair, or financial liability.
CONSEQUENCES FOR VIOLATIONS OF ELECTRONIC COMMUNICATIONS

Violation of this policy will result in disciplinary actions including a written reprimand,
suspension, and other sanctions, up to and including termination. Serious violations will
result in immediate termination.
CONFIDENTIAL MATERIAL INFORMATION
All confidential documentation will be kept under lock and key and privy to those on a
“need to know” basis only. Information should only be disclosed to other administrative
employees with knowledge of the information. Material information is inclusive of any
document or product. Confidential material should not be copied unless absolutely
necessary. They are never to be left unattended or on display. Confidential materials
are to be stored in a secure area. Discarding of confidential material may present in
several forms, including shredding those in document form.
MATERIAL CHANGES
Any changes in materials will be immediately disseminated to staff as required by law,
except in situations where doing so would be detrimental to the company’s interest.
ANNUAL REVIEW OF POLICY
This policy will be reviewed on an annual basis.
