Direct Letter – Choose one of the following:
• Select a product or service that has disappointed you. Write a claim letter
requesting a refund, replacement, explanation, or whatever seems reasonable.
• Or, write a letter to Brian Anderson, Vice President of Operations and Chief
Operating Officer, of BC Transit. You should request improvements in bus service
to Camosun College. Focus on a specific route, or geographic area that does not
have sufficient service. As a student you are forced to buy an annual pass, and
even students with their own vehicles find parking is lacking and thus have a
need to use the BC Transit system. Use the BC Transit website to get facts about
the route(s) you want improved.

Block all information to the left (left justify)
Dear Mr. / Ms. (last name): (note – full colon!)
Paragraphs: single space within; double space between; do not indent
Close with Sincerely,
Make sure you sign the letter
Enclosure: add this after your name at the bottom to indicate additional documentation
(if needed)
APA requires: 12 point Times New Roman font

Approach:
For a straightforward claim, use the direct approach:
Open – clearly state your request (i.e. why you are writing)
Body – explain the problem and justify your request. Provide evidence if appropriate
Close – state your request for action (i.e. how you would like them to respond), and include a
date you would like a response by. End with a statement of good will and an indication of your
intent to continue doing business with them, if appropriate.
