Project Overview

The project underway is to come up with a new automated system for ABC Adventures
that is capable of managing the firm’s information system efficiently and effectively. The new
system will be more robust in terms of performance since the current system that the company
uses is not more efficient and effective as per the requirement of the company. The automated
system for the company will include the combination of all the company’s computer hardware,
software and all firmware that will be configured and integrated to in order to make the
company’s information system more efficient and effective. The new system will also be able to
facilitate better information handling operation, including communication, computation, process
and storage of the company’s information. The overall service will be a hosted solution which
will encompass software as a service (SaaS), Platform as a Service (PaaS) as well as
Infrastructure as a service (IaaS). The combination of these systems basically will enable high
network capacity, which will efficiently support the company’s operations (Cassidy, 2016).
Since the company operates an online platform, the project will definitely enable smooth
operation of the company since incorporates rapid application and scrum.
1.2
Background including current process
The project is to develop a new information system that runs across multiples platforms
and user friendly. Since the beginning, the company has had inefficient information system that
was not able to handle multiple information overload of the company and this prompted the
company to come up with a new system that is able to handle the company’s information system
efficiently and effectively (Cassidy, 2016).

The goal of the project is to facilitate the operation of the company’s information system by
coming up with a more robust system. The system is also expected to be more advanced in terms
of usage and application of new technologies. Since most consumers of web portals are more
concerned about social sites such as Facebook, Twitter and other commonly used social
websites, the new system has a goal of integrating the new system with social sites such as
Facebook and Twitter.
The new project also aims at improving competitiveness of the company as well; it aims at
improving the productivity of the company through easy navigation by clients and prospective
customers in multiple user environments. Cost is also an important element not only for ABC but
also other companies (Holcombe & Ipate, 2012). The project goal, therefore, is to reduce costs
through automation of the company’s information system and other business process. It is
imperative to note that offering customer self support systems within the company website in
areas such as integration of the website with other social network platforms reduces costs in
terms of time and efficiency.
The IT role in this project is to oversee on the implementation and behavior of the new
system and ensure information system architecture is incorporated within the current system and
their compatibility is evaluated to improve on the performance and efficiency.
1.3
Scope
1.3.1 Scope of Project
Scope refers to a project management process that entails the requirements and objectives
necessary for the completion of a project. Defining the scope of a project allows the chief
information officer (CIO) and the project manager to approximate the costs and the time required

to complete the project. The project scope is a component of the project planning process that
entails identifying and documenting a list of the project objectives, deliverables, costs, tasks and
deadlines (Holcombe & Ipate, 2012). The goal of the project scope describes the boundaries of a
project, develops responsibilities for each team member and sets policies and procedures to be
followed for the completion of the project. In addition, the project scope provides the project
manager with guidelines to be followed when making decisions regarding change requests
throughout the project. When documenting the project’s scope, the relevant stakeholders should
be as precise as possible so as to avoid the occurrence of scope creep, a situation where one or
more project parts end up requiring more resources, work or time because of miscommunication
or poor planning.
The scope of this project includes;
1. Applications
These are programs designed to perform specific functions or tasks for the benefit of the
computer user. Therefore, in order for the CIO and the project team members to meet the
production date, they should implement mobile app, Rapid application and Scrum. ABC
Adventure should develop a mobile application which can be installed on user’s mobile
devices (Holcombe & Ipate, 2012). In addition the implementation of Rapid application
and Scrum will enable the company to adjust its project requirements with a lot of ease and
flexibility.
2. Sites

Social network sites like Facebook and Twitter will be incorporated in the project
implementation. Therefore, the designed information systems should effectively
incorporate with these two sites.
3. Process Re-engineering
Process re-engineering entails drastic redesign of a project’s processes in order to achieve
quality and provide more value to clients. It involves the evaluation and redesign of
workflows between enterprises so as to maximize end-to-end- processes. Process reengineering will involve identifying the processes and prioritizing them based on the
urgency (Huang & Benyoucef, 2013). Furthermore, the process entails integrating
information into real work.
4. Customization
Customization will be limited to HTML5 and Java Script. The designed information system
will only use HTML5 and Java platform. HTML5 is a language used for presenting content
on the website. Java Scrip will be used as the programming language of HTML5.
5. Interfaces
These are shared boundary between separate components of computer exchange
information. The interfaces included are user and software interfaces. The applications of
the designed information system will interface oriented programs. User interface refers to
the interaction between the computer and the user. With the designed information system,
the users will find it easy to create their own their profile.

The application and technical architecture to be used will be CISCO packet tracer used for
designing the company’s CISCO routers and Wireless Linksys routers for creating the
company’s Wi-Fi connections.
7. Conversion and Testing
The following data and volume will be considered for conversion; user interface data, user
profile data and security data. Testing will entail verifying the data format that can be
converted into another data format.
8. Funding, training and education
Project funding is limited to $ 1 million. The company’s employees and other relevant
stakeholders will be trained in the usage and application of the designed information
systems. ABC Adventure will offer a wide range of training and learning/education
programs.
1.3.2 Constraints and Assumptions
Project constraints
The following constraints have been identified within the project, which has been seen as some of
the reasons that may hinder smooth operation of the project and final implementation and adoption.
 Limited venture capital to facilitate the full implementation and operation of the new
system.
 Short duration for completion of the project
 Limited resources to enable the smooth transition into the new system.
 Limited skills to facilitate smooth transitioning to the new system.

Project Assumptions
Before the initiation of any project, the project owners must reach as stand point to identify the
various assumptions that are able to produce a shared understanding of the project success. This is
an important element as it will reduce the project failure rate and provide an efficient foundation
for developing strategies for mitigating the various risks identified within the project an as well it
will help in coming up with the contingency plan. The following assumptions have been identified
in defining the project scope, objects and approach:
 New hardware and software is functional
 The project scope will not be modified
 All the project staff will remain in their current roles within the company
 All the IT new infrastructure will be compatible with the customer needs
 The project will meet the current and emerging Information technology needs within the
market today.
 Application and database modification will be properly scheduled.
 The budget allocation for the project will be adequate.
1.3.3 Risks
Risks are those that may affect the project and prevent it from implementation and final
completion. Within the Information technology project, there are varied risks some of which are
preventable while some are unpreventable. It is important to note that risks are inherent virtually
in all technology projects and as such our project is not excluded. In this case, these risks occur in
three primary areas, namely planning phase, people and technology environment. The following

impact on the project. Below are some of the business initiatives that may impact on the project.
 Venturing into other projects before the final completion of the project started can impact
on the current project of the company.
 Setting unrealistic business goals for the project
 Failure of the finance function to fully provide the needed resources for the efficient and
effective operation of the project from initiation till completion.
1.3.4 Scope Control
Scope control refers to the process of avoiding and incorporating changes into the project’s
scope baseline. It entails the project management process of monitoring the progress of the

project, determining whether the deliverables will meet the desired requirements, and controlling
the project scope baseline changes. If the project is changed, then the cost and timeline will also
be affected. Scope can be controlled, if the CIO and project team members compare the current
state of the project against the baseline information. If variations are found, then preventive or
corrective actions should be identified and implemented.
Furthermore, scope control ensures that the project is delivered on time, and scope creep is
prevented and avoided. Therefore, in order to control the scope, the actual results should be
compared to the scope requirements and baseline so as to ensure that all the documented scope is
being delivered (Venkatesh, Morris, Davis & Davis, 2003). In this case, therefore, scope control
is important because it thwarts scope change request from crushing the project and ensure that all
the progresses are handled properly. The control of changes to the scope identified in this
document will be managed through the Change Control, with business owner representative
approval for any changes that affect the cost or timeline for the project.
1.3.5 Relationship to Other Systems/Projects
The company is planning to develop an automated and sophisticated information system that will
enable it to manage its operations more effectively and efficiently. The CIO, the project manager
and other team members are planning to develop and install the system that will integrate well
with other existing systems, technologies and software. The developed system should effectively
integrate and fit with other database and interface design (s). The role of the database and
interface design is to import metadata regarding tables, queries and store policies and procedures
for the information stored in relational databases. Therefore, the developed design should

integrate with this system so as to enable it to easily identify features of objects in order to
achieve the mapping and execution requirements, like database triggers and update keys. In
addition, the developed information system should meet all the requirements related to
maintaining its security and networking. Policies and procedures should be put in place so as to
prevent the occurrence of security breaches on the developed design. Furthermore, a wide range
of practices should be adopted in order to manage and prevent unauthorized access,
modification, misuse and/or denial of a system network and other network-accessible resources.
1.3.6 Definition of Terms
• Scope baseline – this is the documented deliverables expected from the designed project.
• Project schedule – this is the tool that shows what work needs to be done, which
resources will be used and the time frame for completion.
• Software – these are programs and other computer applications used by the computer
• Hardware – these are the physical aspects of the computer and other computing devices
• Data – these are information that has been processed by the computing device and has
been translated into a form that is more convenient.

ABC Adventures is an innovative e-Commerce, start-up company that a venture capital
group has funded. Currently the company has a semi-automated system through which the firm
manages its information needs. At present the has merely one computer and stand alone
application and the system experiences a set of problems. Therefore the firm hired CIO to carry
out analysis and submit a project plan to upgrade the systems. Thus, the aim of this report is
accurate to carry out this analysis and clearly propose the project plan for the system.
The Object of this report is to help ABC Adventures to remove the problems faced by them, with
the help of the new system. For this, proper specifications for a new automated information
system would be developed and implemented by the new system. As the Chief Information
Officer (CIO) of the company, I have been asked by The CEO to submit my plan well within
sixty (60) days to deliver an information technology project plan in anticipation of the company
acquiring the new systems. Since this is a start-up company, there is currently no building or
technology infrastructure to support the business. All information technology (hardware and
software) must be implemented in either a hosted solution, on-site solution or a hybrid model.
The CEO is expecting you to integrate different technologies from different partners and
incorporate industry best practices in connection with the development of technological systems.
The new facility is a two-story stand-alone building. The company currently consists of ten (10)
employees with revenues of $5 million, but is expected to grow to thirty (30) employees with
revenue of $30 million over the next two (2) years.
At the moment the company is involved in travel booking using the online web based
application. Along with this the company plans to launch a mobile app which can be installed on
the client’s Smartphone or a mobile device. In this mode the company wishes to do the business
as it is always easier and convenient from the client’s standpoint. With this the company wishes

increase the number of business transactions, especially for the companies in the travel business.
The company has asked the CIO to develop a very innovative plan for the new application so
that the company has a definite competitive edge and the application should be very user friendly
and ergonomically designed.
CIO wishes to propose the new plan for the system which is not only advanced, in terms of
usage of modern and innovative new technologies, but, also most advanced design methodology
like Rapid application and Scrum. It is also well known that nowadays, usually the sites are
linked to the Social sites like Facebook & Twitter, so the new web design must integrate well
with these sites. At times users are more likely to login to the eCommerce sites with their
Facebook credentials and in that case they have to remember the less number of passwords. So
these features will be accommodated in the new system design plan. With the advent of smart
ways to attack through the security of a system, safe and secure design considerations will be
